Product Field Explanation

Initially, when you are adding product records to produce pricing documents or use as the basis for Internet Monitoring, Web Services US (WSUS) will request a sample product import file for review. This is usually a small subset of products from the same brand. WSUS and your site administrator will work together to configure the data to provide expected results after the product import. Often, this is an iterative process as results are reviewed and refined. Once finalized, you can easily update the data to keep the portal's product records in-sync with your own. Import files must be saved as Excel 97-2003 files with the extension .xls in order to be used in the bulk product import process.  A sample template can be downloaded from the following link: Sample Product Import Template

Ultimately, you may wish to contact WSUS to explore automation options that can minimize and/or eliminate any need for manual intervention.

 
Due to the use of product data in many underlying portal processes there are a number of symbols that should be avoided in all product data fields such as: commas (,) semi-colons (;) and vertical bars (|) .
 
 
Import ID: *Required The Import ID is used to match to existing records. If a match exists, the record is updated. If no match exists a new product record is created. This required field must be unique and not shared for each and every product.This is a text field with a size limit of 100 characters including both spaces and text. The Import ID cannot be left blank.
 
Name/Model: *Required This required field is the product's name as you would search for it on the Internet. This is a critical field for Internet Monitoring in particular. This is a text field with a size limit of 100 characters including both spaces and text. The Name/Model field can not be left blank.

Alternate Name / Model:  The Alternate Name / Model is used as an optional back-up when searching online if the product is found with multiple names. This is a text field with a size limit of 100 characters including both spaces and text.

Model Variation:  The Model Variation allows searching the web for specific model variations such as color (black/white) or size (large/small).  This field may be field filled with up to 50 characters, including both spaces and text.

Category: *Required Categories are used to organize data when creating and publishing pricing documents, Internet Monitoring and other reports. When doing a product update, an associated category is required. Your product data must list and spell the category exactly as it is in the portal's category data. During the product import, if the category listed does not exactly match a category already in the portal, a new category will be created. This can result in the creation of erroneous data if you're not careful. This field may be filled with up to 50 characters, including both spaces and text. The category field can not be left blank.  This field should contain the Category name, not the Category Import Id.

Brand: *Required Brands are used to search for products online as well as organize data when creating and publishing pricing documents, Internet Monitoring and other reports. When doing a product update, a brand is required for each product record. Your product data must list the brand exactly as it spelled is in the portal. Similar to the categories, if the brand listed for any product record does not exactly match a brand already in the portal, a new brand will be created. This can result in the creation of erroneous data if you're not careful. This field may be filled with up to 50 characters, including both spaces and text. The brand field can not be left blank.

UPC: The "Universal Product Code" field should be filled with the Universal Product Code if available since it is a supplemental attribute that can be used to verify a product listing online. The UPC field may be filled with up to 50 characters which include both spaces and text.

EAN: The "European Article Number/ International Article Number" field should be filled with the EAN if available since it is a supplemental attribute that can be used to verify a product listing online. The EAN field may be filled with up to 50 characters which include both spaces and text.

MSRP: *Required This required field must be filled with the current suggested retail in US$ formatted as a two decimal value ($999.99)
 
UMAP: *Required The UMAP value is used in pricing documents and numerous reports. This required field must be filled with the current Unilateral Minimum Advertised Price in US$ formatted as a two decimal value ($999.99). If no UMAP prices exist you can simply set the import to point the UMAP field to the MSRP. One caveat, all your product records must be filled out consistently. You can't choose to ignore a field for only one of the products during an import. All products during one import routine will be treated the same. If some products have a UMAP and some do not, list the UMAP where applicable otherwise use the MSRP *or* import non-UMAP products and UMAP products separately to ensure your results are consistent.

 
Should this product be searched on the web? *Required ONLY for bulk imports  This checkbox determines whether or not WSUS will look for the product online and report findings in the daily Internet Monitoring Reports. Using the product edit form you can skip this field. However, for bulk imports you are required to enter either 'True' or 'False'.

Is this a Key Product? Key products are a sub-set of all products that you may want to keep a close watch on. They can be reported on as an independent group. This check box determines whether or not this product will be included on any Key Product Reports. Key Product reports are custom monitoring reports deployed on request. Checking this box does not create the monitoring report, but identifies what products, if any, should be included once the custom report is created. Key products are selected in the Product Manager form only and not imported at this time.

Words to ignore when scraping (comma separated): This field allows you to fine-tune internet monitoring results preventing erroneous, invalid or unwanted listings (e.g. if you want to ignore all "refurbished" products). By ignoring similar products we can report on the specific product desired instead of capturing multiple variations as one reported item. There are symbols that should not be used as part of the ignore words such as: commas (,) semi-colons (;) and vertical bars (|) .  These symbols are used to separate multiple ignore words. (Example Ignore Word String: Refurbished,Reconditioned,Opened Box,DEMO,Remanufactured,Refurb). This field may be field filled with up to 200 characters, including both spaces and text.

Product Description: This field gives you an opportunity to clearly describe the product. It is used on internal documents only.  This field may be field filled with up to 50 characters, including both spaces and text.

Admin Notes: Used for internal 'bookkeeping' of product information.

Image File: As an option it is possible to associate an image to be displayed with the product records on any UMAP/MAP/MSRP document published. You simply need to enter the image file's name in this field when doing a bulk product data import/update. The actual image files would need to be FTP'd to a special 'dropbox' on the web server in advance of the product update. How to do this is covered in a separate article. If, however, you are editing or adding an individual product you can upload the image directly from the product edit form.
